What the subscription buys

Agentcis prices every plan per user. Most of what an agency uses each day sits on a small set of records: students, institutions, courses, applications and the commission each one earns.
A charge for every counsellor
Every paid plan is priced per user. Premium is listed at A$30 per user per month billed monthly, so each new counsellor, admissions officer or visa adviser adds A$360 a year.
Commission invoicing on Premium only
Services and commission invoicing, payment scheduling, the sales forecast and invoice reports are listed on Premium. Professional, at A$14 per user per month, leaves the money side out.
The portals on the top plan
The client portal, the agent portal, the document checklist and office check-in are Premium features as well.
A shared allowance for email and storage
Paid plans include 50GB of storage and 2,000 emails in and 2,000 out each month, shared by everyone in the company. More is an upgrade.
Setup sold as an extra
A dedicated setup service is sold as an add-on. When it is done, your stages and workflows still live inside their system.
Your records on request
The Agentcis terms say the client, partner and product lists are provided by its support team on request, and only for 12 months after the account ends.

Switching
How to switch from Agentcis
Moving off Agentcis means exporting your records, loading them into your own database as a test first, checking that test against your live account, and running both systems side by side for a full intake before you cancel anything.

Export your Agentcis records
Ask Agentcis for your client, partner, product and application lists, saved as CSV. Agentcis's own terms say its support team will provide these lists on request for up to 12 months after your account ends, so ask before you cancel, not after. If your plan lets you export directly, use whatever the account allows, usually CSV or Excel, and check with Agentcis if you are unsure what you can pull yourself.

Load the export as a test run
Point the import at that folder and run it as a test first. It counts every record, maps your Agentcis stages onto your own, and lists anything it cannot match. Nothing is written to your database until you tell it to go ahead, so you can look through the results and fix any mapping issues before anything goes live.

Check what the import flags
Look at the counts, the stage mapping and the unmatched list from the test run. Staff are created from the assignee names on your old records, and every application keeps its original Agentcis row as a note so you can trace it back later. Uploaded documents, message history and campaigns do not carry over, so plan for those separately.

Run both systems side by side
Once the test looks right, load it for real and keep Agentcis running alongside the new setup. Every record keeps its Agentcis id, so loading it again only adds what changed, it will not duplicate anything. Work a full intake this way, offers, deposits, visas and a commission claim run, before you trust the new setup alone.

Switch off Agentcis
Once an intake has gone through cleanly on the new setup, cancel Agentcis. Confirm you have already pulled every client, partner and product list you need, since Agentcis only guarantees them on request for 12 months after the account closes. After that, the counsellor seats and the per-user bill stop for good.
Where the real effort goes
The real work is not the export, it is deciding how your stages, fields and rules map onto the new database, and how much history you actually want to bring across, since uploaded documents, messages and campaigns do not carry over on their own. When Enterprise DNA installs and runs this for you, they handle the mapping, the test run and the checks with you before anything goes live.

The free version has no front end. Students get a printed checklist of their applications and documents, and emails you approve before they go. When you want a student portal or an enquiry form on your website, we build it into your version. Keep Agentcis running until the new setup has been through one intake.

It checks your records against the ones that catch agencies out: the Australian ban on commission for onshore transfers from 31 March 2026, a current written agreement with each institution, who may give visa advice in New Zealand and in Australia, students under 18, and how long you keep passport copies. Each check names its source. A clean result means your records are complete, not that you have legal advice.
