Switching

How to switch from Baseplan

The move runs through one import command built for Baseplan's exports, followed by a walk of the yard to check what the old system could not hand over, such as certificates, meters and open damage.

    Export your records from Baseplan

    Pull your customer, fleet and contract reports out of Baseplan as CSV, or whatever your account allows (usually CSV or Excel, so check with Baseplan if you are unsure). These three exports carry the business across: who your customers are, what machines you own, and the contracts and their lines, open and closed.

  2. 2

    Run the import, dry run first

    Import your customers, assets and hires CSVs from Baseplan and do a test run first. It tells you what it would create before it makes any changes. Once that looks right, run the import for real and your customers, machines, contracts and lines land in your own system, live hires live and closed ones searchable forever.

  3. 3

    Check what the import leaves out

    Certificates, meters and open damage do not come across on purpose. The old system saying a test tag was current is not the same as a current test tag. Walk the yard once with the stickers in front of you, then run the compliance check, which lists exactly what is still unverified. Most yards find at least one surprise on that walk.

  4. 4

    Run both systems side by side

    Keep Baseplan running for a short period while you work from the new records day to day. Book, off-hire and bill through the new system, and check the totals and the board against what Baseplan shows. This is where you catch a missed field or a rate that did not map the way you expected, before Baseplan goes away.

  5. 5

    Switch off Baseplan

    Once the board, the debtors and a billing run all check out against Baseplan for a stretch you trust, cancel it. Your data now sits in plain records you own, readable by any tool, with no export request and no access that ends when a subscription does.

Where the real effort goes

The import command handles the mechanical part. The real work is deciding what maps where, your categories, your rate basis, which old contracts and how much history you actually want carried across, and rebuilding the compliance rules for your state. That is field mapping and judgment calls, not typing. Enterprise DNA does this part when you have them run it for you.

The free open-source version does not do this today. The runsheet prints, drivers ring the desk, and the desk records it in seconds. If your drivers need to capture signatures and photos offline, keep that app for the trucks for now and use this for the counter, the workshop, compliance and the money. When Enterprise DNA builds your version, a driver app with offline capture can be added.

What happens to years of contract history? expand_more

It comes with you. Export your customer, fleet and contract reports from Baseplan as CSV, run one import step, and customers, machines, contracts and their lines land in your own system, live hires live and closed ones searchable forever. Do a test run first and it tells you what it would create before it makes any changes.

Who keeps the safety rules up to date? expand_more

You do, and the guide makes that easy. It holds six rules with their sources: HSWA plant and supply duties, test and tag under the Electricity (Safety) Regulations 2010 and AS/NZS 3760, MEWP and crane inspections, PPSR registration on long hires, and the Consumer Guarantees Act line a hire desk must not cross. Each rule has the check that runs against your records. Change a rule and the check changes with it. It is not legal advice, it is your rule book pointed at your data.

Does it do the accounts? expand_more

Not in the free version. It drafts invoices from the meter and renders them in your brand, and you send them and reconcile in the accounting system you already trust. Nothing here replaces Xero, MYOB or your ledger, so there is no scary migration of the money. When Enterprise DNA builds your version, a direct accounting connection can be added.
