Switching

How to switch from Microsoft Dynamics 365 Business Central

Moving off Business Central means exporting your records once, loading them with a test run first, and running both systems side by side until you trust the numbers.

    Export your records from Business Central

    Use Open in Excel on your customer, supplier, item, job and open-order lists, and save each one as CSV. Keep the original files as your record of what you had before the move. If a list you need does not offer this option, check with Business Central support, since not every list exports the same way.

  2. 2

    Do a test run first

    Before loading anything for real, run the import in test mode with one export at a time. It checks the whole batch before keeping anything, so a problem in one row stops that file rather than leaving you with a half loaded set of orders, customers or stock.

  3. 3

    Review what the import flags

    Standard column headings map automatically, but any custom headings from your setup need mapping first. The import reconciles quantities and keeps the original documents attached to each order. Anything it cannot match gets flagged for you to check, and order lines bring across only the quantity still open, not what has already been fulfilled.

  4. 4

    Run both systems side by side

    Keep Business Central live for a short period while your team works from the new records, checking that stock, orders and job costs agree between the two. This is the point to catch anything that did not map the way you expected, before anyone relies on the new system on its own.

  5. 5

    Turn off Business Central

    Once the numbers agree and your team is comfortable working from the new records, cancel or downgrade the Business Central subscription. Your accounting ledger stays exactly where it is, since this move only replaces the operational side, orders, stock, purchasing and jobs, not accounts or tax.
