The public language rates are A$93 Basic and A$105 PLUS per month per licence, billed annually at the advertised 30-licence level. That is A$1,116 or A$1,260 a year per licence before GST, not a quote for a small team.

Switching

How to switch from eBECAS

The vendor confirms filtered grid exports, and the free base loads students, courses, intakes and enrolments from that file, but attendance history, financial records and supporting documents need separate reviewed mapping, so this is not a complete one-day move.

    Export your records from eBECAS

    Use the filtered grid export eBECAS offers and pull out your students, courses, intakes and enrolments. If your account allows other export formats, use what it gives you, usually CSV or Excel, and check with eBECAS if you are unsure what your licence permits. Keep the original exported files. You will need them again if anything needs reconciling later.

    Map your columns, then load

    Match your eBECAS columns to the new records once. Run the load as a dry run first so nothing is written yet, and read what comes back. Once that looks right, run the real load. Reimporting the same records again will not duplicate them, so you can repeat this safely while you get the mapping right.

    Check what the import flags

    Conflicting records fail and roll back the entire import, so read the output closely. The load brings across students, courses, intakes and enrolments. Attendance history, fee history and supporting documents are not part of this step and need their own mapping and review before you trust them in the new system.

  4. 4

    Run both systems side by side

    Keep eBECAS live while you reconcile what came across against your original export files. Check enrolments, dates and balances match. This is the point where gaps in attendance, fee or document history usually turn up, so give it enough time to check properly rather than rushing to a fixed date.

  5. 5

    Switch off eBECAS

    Once your records are loaded, checked and reconciled against the originals, and staff are working from the new system without needing to go back to eBECAS, you can end the subscription. Keep the original export files on hand even after cutover, in case something needs checking later.

Where the real effort goes

The real work is mapping your own fields, attendance rules and fee structures to the new records, and deciding how much history to bring across rather than leave behind. Attendance, financial records and supporting documents all need separate reviewed mapping, not just the core export. Enterprise DNA scopes and does this mapping and reconciliation work against your actual exports when they set up and run your version.

Not necessarily. The vendor says the displayed rates assume 30 concurrent administrative licences, are billed annually and are subject to GST. Rates vary with quantity. Ask for your own quote and compare the package, provisioning, portals and extras.

Will our existing student history come across? expand_more

The free version imports mapped students, courses, intakes and enrolments from an exported file. Attendance history, fee history and supporting documents need separate mapping. We scope that work against your actual exports and reconcile it before you switch.

Does it handle our reporting obligations? expand_more

The free version highlights missing evidence and records that need review. It does not issue government CoEs or submit PRISMS, AVETMISS, VSL or TCSI returns. Authorised staff keep those decisions and submissions. We scope the reporting work your version needs before cutover.
