Switching

How to switch from Function Tracker

The move happens in stages, export your records, map them to the new fields, test the import, and run both systems together until you trust the replacement, then retire Function Tracker.

    Export your bookings and customers

    Function Tracker documents separate Excel exports for your booking data and your customer data. Pull both. If your account offers other formats, export what it allows, usually CSV or Excel, and check the current export options with Function Tracker directly, since they can change.

  2. 2

    Map your fields, then test first

    Function Tracker does not use fixed export headings, so someone maps your actual column names to the new system before anything loads. Run a test import first. It previews the result and rolls back automatically, so nothing is committed until you check it looks right.

  3. 3

    Review what the import flags

    The import stops on unknown columns, references it cannot match, or source rows that changed since mapping, rather than loading partial or guessed data. Read through what it flags, fix the mapping or the source file, and run the preview again until it passes clean.

    Run both systems side by side

    Keep Function Tracker running as your team's day to day tool while the new records get checked against real bookings, deposits and menus. Have the people who actually use it test it for a while before anyone relies on it for a live function.

  5. 5

    Retire Function Tracker

    Once the records reconcile and your coordinators trust what they see, stop using Function Tracker for new bookings. Handle attachments, signed documents, mail history and any payment connections separately, since these do not move with the export and need their own plan.

Most of the real work is in mapping your own field names and booking rules to the new structure, since Function Tracker's export headings are not fixed, plus deciding how much history, and which attachments or signed documents, are worth carrying across versus leaving in an archive. Its own help page describes room-based billing without extra charges per user or event. This is a choice about ownership and the way your venue works. Compare the workflows you need and the full cost of running your version before deciding.

Will our booking history come across? expand_more

Function Tracker documents separate Excel exports for booking data and customers. We map the actual headings and reconcile dates, statuses and amounts. The free version imports prepared records after that mapping. Attachments, signed documents and connected services need separate migration work.

Can we keep our booking calendar, enquiry forms and accounting connections? expand_more

We scope the screens and connections your team needs into your custom version, including a web front end where it helps. Keep your current capture process running until the replacement has been tested with the people using it.

Does the free version collect deposits or certify our food and liquor compliance? expand_more

It records receipt evidence and shows the remaining balance. It does not collect money. The kitchen and host responsibility review highlights missing records for a person to check against the venue rules and licence conditions. A cleared finding is not a compliance certificate.
