Where the money goes
A Keap invoice is a platform fee, a user count, a contact count and a contract
Keap lists one platform starting at US$299 a month, which is US$3,588 over a year of monthly billing. Two users come with it. Everything after that is priced by how many people log in and how many contacts you hold.
A starting price, not a price
US$299 a month is where Keap starts. Extra contacts are priced in tiers, and text messaging tiers are priced on top.
The third user costs extra
Two licences are included. A bookkeeper, an assistant or a second salesperson each add US$39 a month.
A growing list means a growing bill
Contacts are priced in tiers from a calculator on the pricing page. The more clients and leads you keep, the more you pay to keep them.
Implementation you must buy
Keap calls its implementation services required. The fee is not published; you find out on a sales call.
A year's commitment
On an annual contract, cancel before the one-year term ends and Keap charges a US$299 early termination fee.
History that leaves in pieces
Contacts come out as a spreadsheet file. Notes and tags come out through separate reports, and you stitch them back together.

Switching
How to switch from Keap
Most businesses build and test the new system in the last months of their Keap contract, run it alongside Keap for a while, then give notice once they trust it.

Export your records from Keap
Keap's help centre shows contacts exporting from the People list as a CSV file, with custom fields included. Notes and tags come out through separate reports, not the main export. Pull all three before you cancel anything.

Load them, with a test run first
The free tool reads an export shaped like Pipedrive's, not Keap's, so your file needs its columns lined up before anything loads. Ask Claude Code to do that mapping in plain English, or have Enterprise DNA handle it when they set up your system. Either way, load a small batch first and look it over before you bring in everything.

Check what the import flags
Not every record moves cleanly. Look through anything the import could not place. Fix what matters and leave the rest rather than guess. This is also the point to confirm your deal values and stages landed where you expect them.

Run both side by side
Keep Keap running while you use the new system for real work over a short stretch. Log the same calls, notes and deals in both, and compare what each one shows you at the end of a few days. This is how you catch a gap in the move before it costs you a follow-up, not after.

Check your renewal date before you do anything. Keap charges a US$299 early termination fee if you cancel before your one-year term ends, so most businesses time the switch to land near that date. Cancel once your side-by-side run has gone clean and you trust what the new system shows you.
Where the real effort goes
The real work is rarely the export itself. It is deciding how your Keap fields and pipeline stages should map onto the new system, and how much of your history is worth bringing across versus leaving behind. That mapping, and checking it against your real records, is the part Enterprise DNA does for you when they install and run your system.
