Switching

How to switch from Programa

A move usually involves exporting your Programa schedule, mapping its fields, checking the imported records against the source, and deciding which history needs separate handling.

    Export your schedule

    Use Programa’s Export as XLS option to export the schedule and the selection details you want to carry forward. Save the spreadsheet as XLSX or CSV if needed for the import. Keep a backup of your Programa data before importing. Attachments, approval history, invoices and payments need separate work, so note which of those you need to retain.

    Map and test the import

    Map the spreadsheet columns to the supported fields before loading the records. Check that item codes are stable and decide how to handle each price field: Client Price and Cost are treated as line totals, while Unit Price and Trade Price are unit values. Run the import’s dry run first. It validates the whole file without keeping any writes.

  3. 3

    Review issues and reconcile

    Read the dry run’s results and resolve anything it flags before loading the records. Compare quantities and money with the Programa schedule. A line total that cannot be represented as a unit price with two decimal places is rejected for review. Do not substitute recommended retail price for actual supplier cost, and check the mapping again if figures do not match.

    Run both systems briefly

    After the import, keep Programa available while you check real work in the new system. Compare schedules, quantities and prices, and confirm that the records your team needs are present. Imported status labels do not create local approvals, orders or notes, so check those separately and record them where needed. Use this short overlap to resolve gaps before your team relies on the new records.

    Stop using Programa

    Once you have reconciled the records and agreed what history to retain, make the new system the place your team updates its work. Stop entering new changes in Programa so the two records do not drift apart. Keep your backup, original documents and any history you chose to retain, then close out your Programa use when you are ready.

Where the real effort goes

The import is only part of the work. Most of the effort is mapping your own fields and rules, checking price and quantity handling, and deciding which history to bring across. The free version imports supported selection fields, while attachments, approval history, invoices and payments need separate work. If Enterprise DNA runs your version, Enterprise DNA does this mapping and preparation with you before cutover.

The free version handles specification records, approvals, purchasing and studio reviews. Enterprise DNA scopes visual presentations, mobile capture and a client portal around your way of working. We agree that scope before you switch.

Will our Programa history come across? expand_more

Programa lets you export a schedule as a spreadsheet. The free version brings across supported selection fields after the file and column mapping are checked. Attachments, approval history, invoices and payments need separate work. We agree what you need to retain and map it before cutover.

How do we keep supplier costs away from clients? expand_more

The generated client schedule omits supplier costs and contact details. Internal money views keep those figures for your studio. We set up access and document sharing for your version so the right people see the right records.

Can we change an item after the client approves it? expand_more

A specification or price change creates a new revision that needs approval before ordering. Ordered specifications are frozen. A replacement becomes a separate selection so the original order record stays intact.
