The problem

Annual reviews are a core part of the service and part of the compliance record, but booking hundreds of them each quarter eats hours of back-and-forth. Clients slip past their review date without anyone noticing.

How it works

  1. Reads upcoming review dates for every adviser's clients from the firm's CRM
  2. Emails each client an invitation with a booking link, then calls if there's no reply
  3. Sends the fact-find update form and reminds the client to complete it before the meeting
  4. Says plainly that it can't give financial advice and notes the question for the adviser
  5. Updates the client record with the booking and any changes the client mentions

Sample conversation
  1. AgentHi Graham, it's Olivia from Quillbrook Wealth Partners. Your annual review with Carl Jensen is due next month. Would you like to book a time?
  2. ClientYes. While I've got you, should I be rolling my old 401(k) into an IRA?
  3. AgentThat's a good question for Carl, and I'm not able to give advice. I'll add it to his notes so he comes prepared to discuss it.
  4. ClientFair enough. Mornings are best for me.
  5. AgentCarl has Wednesday at 10am in the first week of next month, at the Loop office or by video. Shall I book that and email you a short form to update beforehand?
