Instead of ATOmate

Stop renting ATOmate. Own your ATO correspondence system.

We build your version around how you read, match and route ATO correspondence, bring your ATOmate data across, and run it for you.

Its main rival publishes A$395 to A$660 a month, plus setup fees, while ATOmate quotes each practice privately based on mail volume.

What you are paying for

Most of the bill is a reading robot and a workflow screen

The correspondence register is yours. The layer that reads, matches and routes it is what you rent, and the rent is priced on how much mail the ATO sends your clients.

paid

A subscription priced on your mail volume

ATOmate quotes each practice privately on the documents it processes. Its main rival publishes A$395 to A$660 a month, plus setup. A big tax season is a bigger bill.

schedule

A setup project before the first letter

Onboarding fees, integration mapping to your practice and document management systems, and training, before anything is processed.

extension

The reading layer itself

OCR, document splitting and data extraction is the core of the product. An agent that reads is on your machine already.

layers

Checking sold as a feature

Comparing the assessment against the return you lodged is one subtraction on two numbers you both hold. In the incumbent it is a selling point of the plan.

dashboard

Their workflow, not yours

Statuses, templates and review screens the vendor designed. Your three-day turnaround standard is not a setting.

lock

A pipeline that ends at their integrations

It files into the document systems it supports and emails through the templates it ships. Your register lives inside their subscription.

What you get instead

The same pipeline, over a database you own

The mail run

Drop the PDFs in a folder, the agent does the data entry

Every piece of ATO mail walks one pipeline: received, matched, checked, notified, filed. Claude Code reads each letter, matches it to the client, and registers it with the amounts and due dates on the record.

  • check A morning mail check over your inbox, matched against your client list
  • check Unmatched mail is recorded as unmatched, never guessed, and confirmed against the last three TFN digits
  • check The inbox lists everything not yet in front of a client, oldest first
  • check A seven-day turnaround standard the compliance check enforces, and you can change

The check

Every assessment checked against what you lodged

The lodgment record holds what went in and what you expected back. The notice of assessment is checked against it before the client hears a number, and the system won't allow it any other way.

  • check A variance is one subtraction, shown with the explanation beside it, and explanations are required
  • check Variances older than 30 days are flagged, because objection windows expire (TAA 1953 Part IVC)
  • check The client hears a checked number, never a raw one: notify refuses unchecked documents
  • check Eight compliance rules with their sources, run against the live records in one command

The client

Nobody surprised by their own tax bill

One list shows every dollar due to the ATO across the client base and whether each client has been told. The letters draft themselves from the record, in your brand, and a person sends them.

  • check The due list with a client-told column: a NO inside 14 days is the morning priority
  • check Payment plans watched to the instalment: one miss defaults an ATO plan quietly
  • check Client letters rendered from the register with the check attached, never auto-sent
  • check The lodgment calendar with failure-to-lodge exposure, overdue first

Your data

A database you own, no full TFNs, any agent

Runs on a laptop with no extra setup needed, or on your own system for the whole practice. Works with Claude Code and other similar AI tools, the records are the product, the assistant is just the door.

  • check No full tax file number stored anywhere: the database itself refuses more than three digits
  • check Import your client list from XPM and your register from the incumbent in one command, TFNs truncated on the way in
  • check Family groups, staff turnaround and cross-register questions no vendor dashboard offers
  • check MIT licence, plain records, no vendor to leave

Questions ATOmate cannot answer

Every one of these is a real question the demo answers today. Yours will be different, and that is the point.

chat_bubble Which clients have money due to the ATO in the next fourteen days and have not yet been told, and who owns each one?
chat_bubble Which assessments this season differed from the return as lodged, by how much, and which differences still have no recorded explanation?
chat_bubble What is each staff member's real turnaround from document received to client notified, and whose oldest held item is oldest?
chat_bubble Which payment plans hit their next instalment this week, and which have already missed one?
chat_bubble What does the whole client base owe the ATO across every payable document with a future due date, and who holds the most of it?
chat_bubble Which clients got a debt letter this quarter, and what does the rest of their file say about why?
chat_bubble Which lodgments are overdue and accruing failure-to-lodge penalties right now?
chat_bubble Which audit or review letters are open, for how long, and is the response task on anyone's list?
chat_bubble Which documents were notified to clients but never filed, so the letter went and the record dangles?
chat_bubble Which family group has the most open items across all of its entities, counted the way you actually review them?

Switching

How to switch from ATOmate

The move itself is mostly exporting what you already have, doing one import step, and checking the register matches before you cancel anything, with the detail covered in the free version's own migration guide.

  1. 1

    Export your records from ATOmate

Export your client list from your practice management system and the processed-documents report from ATOmate. If your account offers something different, export whatever it allows, usually CSV or Excel, and check the exact fields with ATOmate support before you start. This is the only data you need to bring the register across.

  2. 2

Run the import, dry run first

Do a test run first to see what would happen without saving anything, using your exported files for clients, documents and lodgments. Once that looks right, run it again for real to load everything in properly. If your export came from XPM, say so instead of ATOmate, or choose 'other' for anything else.

  3. 3

    Check what the import flagged

The import shortens any TFN entry to its last three digits and tells you how many it dropped, so check that count against what you expected. Read the guide for the step by step on what maps across cleanly and what deliberately does not, and fix anything that looks wrong before you rely on the register.

  4. 4

Run both systems side by side

Keep ATOmate running while you work the new register for a short period. Compare the Inbox, Due list and Variances view against what ATOmate shows for the same clients and documents, and confirm the two agree before you commit to the new system as the record of truth.

  5. 5

    Switch off ATOmate

Once the register matches and your team is working from the Inbox, Attention and Due views without going back to check ATOmate, cancel the ATOmate subscription. Keep your export files somewhere safe in case you need to re-check anything from the old system later.

construction

Where the real effort goes

The mechanical part, the export and the import command, is quick. The real work is deciding which fields and rules from your practice actually matter, how much history to bring across, and how your document types and standards should read in the new system. Enterprise DNA does this part of the move when they install and run it for you.

Questions

Instead of ATOmate, answered

Is it really free? expand_more

Yes. MIT licence. Run it anywhere, change anything, no account with us.

How does the mail get in without an ATO connection? expand_more

However it reaches you now: the practice mail download from ATO Online, scans of paper letters, forwarded PDFs. Drop them into your inbox and the system reads each one, matches it to the client and registers it. A wired feed is a customisation Enterprise DNA builds with your own credentials, no ATO connection or credential lives in the free version.

Where do the tax file numbers go? expand_more

Nowhere. The database itself refuses to store more than the last three digits, imports truncate TFN columns on the way in and report the count, and the letters never carry one. The Privacy (Tax File Number) Rule 2015 is binding, and the safest TFN store is the one that does not exist.

Does it email my clients? expand_more

No, deliberately. Letters draft to a folder in your brand with the check attached, a person reads and sends them, and the register records that it happened. The day a wrong assessment letter goes out unread is the day the automation cost more than it saved.

What does the installed version add? expand_more

Migration from ATOmate and your practice management system, your document intake wired in, letters and rules written for your standards, your team trained on the commands, and someone to call. It runs alongside everything else Enterprise DNA runs for you.
