Instead of Elvanto

Stop renting Elvanto. Own your church office system.

We build around your services, volunteers and care routines, map the Elvanto records you need to bring across, and run your version for you.

Elvanto lists A$19 a month for 50 active adults or A$39 for 100, with A$149 setup. The case for your own version is control over the work, not a promised saving.

Switching

How to switch from Elvanto

How long this takes depends less on the software and more on how much history you decide to bring across, since names and contacts move in one import but giving, groups, attendance and attachments need their own reviewed mapping first.

  1. 1

    Export your people from Elvanto

Elvanto exports a Standard Report people CSV with Member ID, following Elvanto's own export instructions for your account type. Export what your account allows, usually CSV or Excel, and check the export screen or Elvanto support if your report options look different. This file is what the import reads, so keep the Member ID column and hold onto the original export as a backup.

  2. 2

Load the file in with a test run

Load the export using the import's built-in test run before anything is saved. It reads the Member ID, brings across names and contact details, checks for duplicates against what is already in the database, and keeps every original column from your export for later reference. Nothing is written until you confirm the test run looks right.

  3. 3

    Check what the import flags

Look through what the test run reports back. Records that match an existing person exactly are skipped, records that appear changed are set aside for someone to review by hand, and a bad batch rolls back completely rather than loading half a file. Also check contact permission, which is never assumed, and review child classification and status before relying on any record.

  4. 4

Run both systems side by side

For a short period, keep Elvanto running as it is while the new database takes over day to day entry. Enter the same week's rosters, attendance and giving in both places and compare the results. This is where you catch a mapping gap, such as a home group or fund that didn't come across, before you rely on the new records alone.

  5. 5

    Switch off Elvanto

Once a full cycle has run clean in both systems and you're confident nothing is missing, cancel the Elvanto subscription. Keep your original export and a database backup rather than relying on Elvanto's records once the account closes. Giving, relationships, attendance history and attachments that needed separate reviewed mapping should already be checked off before this step.

construction

Where the real effort goes

The real work isn't the import, it's mapping your church's own fields and rules and deciding how much history to bring across. Giving, relationships, attendance and attachments need separate reviewed mappings, since the free import only carries names and contact details automatically. Enterprise DNA scopes and builds that mapping for you when they run the switch.

Questions

Instead of Elvanto, answered

Will this cost less than Elvanto? expand_more

Not necessarily. Elvanto starts at A$19 a month for 50 active adults on monthly billing and includes its features. Free source still needs hosting, maintenance and an operator. Compare those costs with your actual subscription and the value of a process you can change.

What actually comes across from Elvanto? expand_more

The free people import brings names and contact details across using the member identifier. It retains other exported values for review, checks duplicates and offers a test run. Giving, household links, groups, attendance history and attachments need separate reviewed mappings. Enterprise DNA scopes that migration with you before the switch.

Can volunteers keep using phones and accepting roster requests? expand_more

We can build a volunteer phone workflow and the access rules your church needs into your version. We agree how requests, responses and attendance are collected, and test that process with your coordinator before changing the existing routine.

Does it certify child safety or issue tax receipts? expand_more

It checks entered evidence and prepares draft paperwork. Your safeguarding lead confirms which rules apply and verifies the original checks. Your finance reviewer confirms gift eligibility and completes official receipts. The free version does not contact regulators, certify a worker or sign a receipt.

Who can see pastoral, children and giving records? expand_more

The free version is an authorised office tool. Anyone given direct database access can read its records. For a wider team, we scope restricted access, retention and backups before shared use. No member directory is made public by the free version.
