Switching

How to switch from Enrolmy

A move usually involves exporting the records your account allows, mapping them into the new database, checking a test import, and agreeing a cutover after count checks.

    Export your records

    Export what your Enrolmy account allows, usually as CSV or Excel, and check with Enrolmy if you are unsure what is available. Start with families, children, contacts, bookings and invoices, which the new system can import after column mapping. Enrolmy does not promise one fixed full-record layout, so check the exported columns before planning what to bring across.

    Map and test the records

    Have the exported records matched to the fields in the new database through a reviewed column map. Start with a test import, which checks every row and rolls back rather than applying the records. The import needs stable identifiers to match records. Review the test results and mapping before asking anyone to apply the import to your working database.

    Review errors and counts

    Check which rows the import flags, resolve invalid or mismatched information, then repeat the test if needed. Compare the expected and imported counts for each record type before applying the reviewed import. Confirm that family, child, contact, booking and invoice records have landed as intended. Attachments, signatures and historic attendance need a separate reviewed plan, not an assumed transfer.

    Run both side by side

    Keep Enrolmy available while trusted office staff use the new database alongside it for a short agreed period. Compare the records and daily work, including bookings, attendance, collection records and balances. The records do not automatically stay in sync, so decide which system staff update for each item and reconcile changes before cutover. The new system is for trusted office staff, not a parent portal.

    Switch off Enrolmy

    Agree the cutover once your test run, count checks and side by side review are complete. Confirm that staff know which system is now used for programme records and that your booking, payment and other services still have an agreed place in the process. Keep a private backup of the database and source exports, and do not commit or upload records containing children's details.

Where the real effort goes

Most effort is not loading rows. It is matching Enrolmy's columns to the new records, deciding how your own enrolment fields and programme rules should work, and choosing which history to bring. Family, child, contact, booking and invoice records can be imported after reviewed mapping. Attachments, signatures and historic attendance need a separate plan. Enterprise DNA handles this mapping and setup when you have them run it.

Is this only about saving the Enrolmy subscription? expand_more

No. The standard Enrolmy plans are NZ$199, NZ$299 and NZ$399 a month including GST. A custom system is worth discussing when your administration needs rules, checks or connections that the standard setup does not fit. Hosting, operation and custom work have their own costs.

Can you bring across our children, families and booking history? expand_more

We start with the exports available in your account and compare their contents with the records you need. The free version imports reviewed family, child, contact, booking and invoice records after column mapping. Original documents, signatures and historic attendance need a separate reviewed plan. We agree the cutover after a test run and count checks.

What about the parent booking page and sign-in kiosk? expand_more

The free version is for trusted office staff handling programme records. Tell us how parents book and staff record arrivals. We scope the booking page, staff screens, permissions and collection workflow for your custom version. The programme still verifies who is collecting each child.

Does it make our programme OSCAR compliant? expand_more

It flags selected record gaps against the February 2026 OSCAR standard, including contact details, attendance evidence, parent acknowledgements and first aid cover. The checks support your review. They do not grant accreditation, supervise children or replace your safety procedures. Australian programmes need their own rules configured.

Can it process payments and WINZ subsidy claims? expand_more

The free version records invoice totals and the amounts staff have marked paid. It does not process payments or submit subsidy claims. Keep those services in place while we agree the administrative work to replace and how its records will connect.
