Switching

How to switch from MYOB Acumatica

Moving over usually means exporting your MYOB Acumatica records, running a test import before the real one, checking what the import flags, and working both systems side by side through a month end before you switch off, with the exact time depending on how much history you choose to bring across.

    Export your records from MYOB Acumatica

    Use the Export to Excel button on each MYOB Acumatica list screen, saved as CSV. Export customers, suppliers, items, projects, tasks and open orders. Open orders only, since the system brings across open quantities and nothing ships twice. Check with MYOB Acumatica or your partner on the exact export path for your account, since options can differ by edition.

    Run a test import first

    Load the exports in a test run before touching real data. The import checks the whole batch before keeping anything, and if one row fails none of it is kept. Use this test to catch problems in your customer and item files early, with your own column names mapped so the records land where you expect.

    Check what the import flags

    Review what the test run skips or flags, inactive and completed records are left out automatically. Confirm customer and supplier balances carried from your ledger reference are correct, and load your opening stock count for each warehouse before you trust the numbers.

    Run both systems side by side

    Keep MYOB Acumatica live while you work from the new base, and run a parallel month end before you switch. Compare claims, stock and project positions between the two for a short period so you catch any gap while MYOB Acumatica is still there to check against.

    Switch off MYOB Acumatica

    Once a parallel month end matches and your team is working from the new base day to day, cancel MYOB Acumatica. Keep your accounting, GST and payroll where they are, since this only replaces the operations side: orders, stock, projects, claims and retentions.

The free version reads customers, suppliers, items, projects, tasks and open orders saved as CSV, checks the whole batch before keeping anything, and skips inactive and completed records. We map your own column names, load your opening stock count and run a parallel month end before you switch.

What happens to our accounting, GST and payroll? expand_more

They stay in your accounting system. This replaces the operations side: orders, stock across branches, projects, claims and retentions. Customer and supplier balances are copied in from the ledger with a reference, and we agree the link to your accounting system when we build your version.

Our project managers work on site. Do they need a laptop? expand_more

The free version is used by asking questions at a desk. For site teams we build phone forms for progress, costs and photos into your version, working offline where there is no signal.

Does it handle retention money for our subcontractors? expand_more

It records each amount held, the trust account it sits in and the last report to the subcontractor, flags anything overdue against the NZ Construction Contracts Act, and drafts the statement. A person checks and sends it. Australian state rules are added to your version where they apply to you.

What does Enterprise DNA charge? expand_more

We agree a setup fee for bringing your records across, your workflows and connections, then a retainer if we run it through Omni by Enterprise DNA. The free version has no licence fee or per-user charge. Hosting and agent usage are separate costs.
