Switching

How to switch from TidyHQ

Getting the records out is quick, most of the real work is in checking what came across and mapping the parts a contact export does not cover, like family links, multiple memberships and financial history.

    Export your contact records

    In TidyHQ, use Actions > Export All to pull your contact list, and export your membership reports as CSV if you need those too. Check the file for the fields you actually track. Family links, multiple memberships and financial history are not part of a plain contact export and need separate mapping. If your account only allows a different format, export what it lets you and confirm with TidyHQ.

    Run a test import first

    Load the exported file and run a test import before touching real data. The test run shows you what the tool sees and how field names line up between the two systems, without committing anything. If headers do not match, fix them in the export or the setup before you import for real. This step catches most problems early, before they reach your actual records.

    Check what the import flags

    After a real import, work through what got flagged. Family links, multiple memberships per person and financial history rarely come across cleanly and need separate mapping. Missing officer or member evidence and other compliance gaps also surface here. Have your committee review the flagged list rather than assuming every record landed correctly, so nothing gets treated as settled before someone has actually checked it.

    Run both side by side briefly

    Keep TidyHQ active for a short period while you use the new database for real committee work, renewals, duty rosters, the treasurer's report. This gives the committee a chance to catch anything the import missed, while you still have the old records to check against. Do not cancel TidyHQ until this period has passed without turning up anything you need to fix.

    Turn off TidyHQ

    Once the committee has checked the records and running both side by side has not turned up anything missing, cancel the TidyHQ subscription. Keep the original export file somewhere safe as a backup record. Confirm with your payment provider and fee handling that nothing is still routed through the old account before you close it.

Where the real effort goes

The exporting and loading are mechanical. The real work is deciding how your own fields and club rules map across, and how much history you bring, family links, multiple memberships, financial records. That judgement is where time actually goes, not the file transfer itself. Enterprise DNA handles this mapping as part of your migration when you have them run the setup for you.

The reason to change is control over your records and how your club works. A subscription saving alone is not the case for a custom build. We start with the committee work that needs a better fit.

Can we bring our TidyHQ history? expand_more

Yes. The free version imports a contact export after a test run. TidyHQ sends its contact export to the address on your profile. Family links, multiple memberships and financial histories need separate mapping, which Enterprise DNA handles as part of your migration.

What about member joining, online payments and phones? expand_more

Enterprise DNA can build a member-facing experience and connect your payment provider in your custom version. We agree the flows with you first. The working examples here cover the committee records and weekly administration.

Does it check our society or association rules? expand_more

It flags missing evidence and compares notices and deadlines with the rules recorded for your club. New Zealand officer and member evidence checks are included. Australian clubs need the applicable state and constitution rules configured. Your committee reviews the results.
