A product is one row: what it costs, what it sells for, how many are on the shelf. The screens around those rows are what you rent, and the rent is per person, per month, plus the add-ons.

On hand is the sum of movements and nothing else: every receipt, shipment, adjustment and count is a row with its reason. Stock never goes negative, and shrinkage has an audit trail instead of a shrug.

Shipping moves what stock allows and records the shortfall loudly, with the inbound PO date to promise or the absence of one. Billing drafts what shipped, never more.

The rules a distributor lives under are gates and checks against the records, each citing its source.

Switching

How to switch from Unleashed

The move itself is one export, one import command, and a short stretch of re-keying the things that deliberately do not carry across, such as open orders and price deals.

    Export your records from Unleashed

    Export suppliers, customers, products and stock on hand as CSV, using whatever export the account allows (usually CSV or Excel, check with Unleashed if you are unsure). These four files are what the import command reads. Codes, tiers, terms, costs, sell prices and reorder points travel with them, so get these right before you move on.

  2. 2

    Load them with the import command

    Import your suppliers, customers, products and stock from your existing files. Do a test run first to see what would happen before anything is saved. Once the test run looks right, run the same import again for real to load the data.

  3. 3

    Check what the import flags

    Stock lands as counted stocktake moves, so the ledger starts explained rather than inherited. Open orders, customer price deals and sales history deliberately do not come across: open orders get re-keyed (a chunk of them turn out to be dead), and each price deal is re-entered beside today's cost so anything below cost gets caught at the door. The migration guide walks through exactly what to re-key and what to hand the warehouse on cutover weekend.

    Run both side by side briefly

    Keep Unleashed running alongside the new system for a short stretch while stock, prices and open orders get checked against each other. Ask for the compliance check on the imported data during this window, so anything missing a terms of trade, a PPSR record or a reason on an adjustment surfaces before Unleashed goes away.

  5. 5

    Switch off Unleashed

    Once the numbers match and the team is working from the new system without needing to check back, cancel Unleashed. There is nothing left to migrate: the data sits in your own records, not behind a subscription, so there is no export deadline hanging over the switch.

Where the real effort goes

The mechanical part, export and import, is the easy half. The real work is mapping your own fields, price rules and terms onto the new system, and deciding how much sales history is worth bringing over versus starting the ledger clean. Enterprise DNA does this mapping and the cutover itself when they install and run it for you.

Not the scanning, not today. The free open-source version has no warehouse app. Movements are recorded by commands, imports, or whatever capture tool you already point at the dock. Plenty of operations keep a cheap scanner workflow for the physical moment and run everything behind it here: the ledger, the backorders, the reorder run, the pricing, the billing gate. When Enterprise DNA builds your version, a phone or tablet scanning app can be added on top.

Yes. MIT licence. Run it anywhere, change anything, no account with us, and no fee per user ever. The whole team points at one shared database and pays nothing per seat.

What happens to my Unleashed data? expand_more

Export suppliers, customers, products and stock on hand as CSV and run the import command. Does it send my invoices? expand_more

Not yet on its own. The free open-source version drafts one invoice per customer from shipped goods, GST on its own line, and renders it in your brand with your GST number, but you send it from your own system. When Enterprise DNA builds your version, sending invoices directly can be added.

Can the counter, the warehouse and accounts all use it at once? expand_more

Yes. Point everyone at a shared database and they run the same commands against the same ledger, with no per-seat fee. That sentence is most of the reason this project exists.
