Switching

How to switch from BoardPro

A move usually involves downloading and archiving your BoardPro records, preparing reviewed records for import, checking them, and running both systems side by side before you switch.

    Download and archive records

    BoardPro documents PDF downloads for actions, decisions and interests, plus manual downloads of meeting documents. Download and keep the originals in your controlled archive. Do not assume a native CSV export is available. Check with BoardPro about what your account allows, then choose which records and history you want to bring across.

  2. 2

    Prepare records for import

    The free importer loads secretary-reviewed records prepared in its supplied CSV layouts. Transcribe the records you have chosen to bring across, such as actions, meetings, decisions and interests, and map BoardPro's fields to the new records. Keep stable external IDs if you may import the same records again. This preparation is not an automatic transfer of your full account.

  3. 3

    Test the prepared records

    Run the import's test option before loading records into your working database. Review its results for records that do not fit the selected board or record type, and correct the prepared data before you run the import for real. Keep the BoardPro originals available while you check the results. The test helps identify import issues, but it does not extract PDFs or move attachments and signatures.

    Check imported records

    After loading the records, compare them with your archived BoardPro documents and prepared source data. Check key details such as owners, dates, decisions, interests and links between records, and resolve anything the import flags. Ask your secretary to review the results before relying on the new database for board work. Keep a note of any history you chose not to bring across.

  5. 5

    Run both, then switch

    Keep BoardPro available while you use the new database for a short period. Check that your secretary can prepare and review the records and documents needed for the meeting cycle, and keep track of any updates made during the overlap. Once you are satisfied with the records and process, switch off BoardPro. Retain the original downloads in your archive.

Where the real effort goes

The main work is usually deciding which history to bring across, transcribing it into the supplied layouts, and mapping your own fields and board rules. The importer does not move an entire BoardPro account automatically, and reviewing the records takes care. If Enterprise DNA installs and runs your version, Enterprise DNA handles the mapping and reconciliation with you.

No. BoardPro includes unlimited users and charges by board, with subcommittees billed separately. Compare your actual renewal and the features you use before deciding whether owning a custom system makes sense.

Can we bring our BoardPro history with us? expand_more

Yes, with a review step. BoardPro documents PDF downloads for actions, decisions and interests, and manual downloads of meeting documents. Keep those originals. The free version loads reviewed records prepared from them. Enterprise DNA can handle that mapping and reconciliation. It is not an automatic transfer of the entire account.

Will directors still get the documents they need? expand_more

The free version produces printable agendas and paper summaries, minute extracts, action notices and interest registers under your business name. Original papers stay in your controlled archive. We can build secure director access, a mobile experience and signing connections into your custom version.

Does this certify that the board meets every legal requirement? expand_more

No. It flags specific gaps in recorded evidence for NZ and Australian companies, with sources for the secretary to review. Your quorum is a configured board rule. Other organisation types need their own rules, and signed originals and professional judgement remain part of governance.

What does Enterprise DNA charge? expand_more

One setup fee, then a retainer for the agreed ongoing service. Sam scopes the history to bring across, the board’s access requirements and the workflows to build. The free base carries an MIT licence. Hosting and any subscriptions you choose remain separate.
